Privacy Policy

Last updated: November 1, 2026

Blu Alliance Counseling Center (“Blu Alliance,” “we,” or “us”) respects your privacy. This policy explains what information we collect through blualliance.org (the “Site”), how we use it, and the choices you have. It applies to the Site and, as described in the Internal applications section below, to the software tools we operate for our own business. Information you share with us as a client is protected under our Notice of Privacy Practices, which we provide at intake and which is governed by HIPAA and California law.

What we collect

We collect information you choose to give us through the contact form on the Site: your name, email address, your message, and how you heard about us. Form submissions are stored securely on our website host and sent to our administrative team by email. When you book or request an appointment through the SimplePractice scheduling widget on the Site, the information you enter is collected by SimplePractice, our secure client portal provider, and protected under our Notice of Privacy Practices. The Site’s web server also records limited technical information automatically, such as your IP address, browser type, pages visited, and the date and time of your visit, in standard server logs.

Please do not include detailed health information in website forms. Those forms are for scheduling and general questions. Clinical information is best shared directly with your clinician or through our secure client portal.

How we use it

We use the information you provide to respond to your inquiry, schedule a consultation, match you with a clinician, and communicate with you about our services. We use technical information to keep the Site secure, understand how it is used, and improve it. We do not sell your personal information, and we do not share it with third parties for their own marketing.

Service providers we use

We share information only with service providers who help us operate the Site and our practice, such as our web host, our scheduling and client portal provider, and our email provider. These providers may use your information only to perform services for us. We may also disclose information when required by law, to protect the safety of any person, or to defend our legal rights.

Cookies and third-party content

The Site does not use advertising trackers or third-party analytics services. It may set the basic cookies needed for the website platform and contact form to function. Our hosting provider, GoDaddy, and its security service, Cloudflare, also set essential cookies that protect the Site from automated abuse; these are required for the Site to operate and do not track you across other websites. The Site also loads content from third parties: the SimplePractice scheduling widget (served from our client portal at clientsecure.me), Stripe (the payment processor built into the SimplePractice widget), and Google Maps, which shows our office locations. When a page with this content loads, those providers may receive your IP address and set their own cookies, as described in the SimplePractice, Stripe, and Google privacy policies. You can set your browser to refuse cookies or alert you when a cookie is being sent; some features of the Site may not function without them. We do not respond to Do Not Track browser signals. If we add analytics tools in the future, we will update this policy.

Your choices and rights

You may contact us at any time to ask what personal information we hold about you from the Site, to request a correction, or to request deletion, subject to our legal and clinical record-keeping obligations. We do not sell personal information. To make a request, email admin@blualliance.org or call (626) 541-0009.

Children

The Site is not directed to children under 13, and we do not knowingly collect personal information from children through the Site. Parents and guardians who have questions about a minor’s care may contact us directly.

Internal applications

Blu Alliance operates software tools for its own internal business needs, including the Payroll Bridge, an application that connects our practice management system (SimplePractice) with our payroll and accounting system (Intuit QuickBooks). These tools are used only by authorized Blu Alliance staff and contractors and are not offered to the public.

To calculate clinician pay, the Payroll Bridge reads appointment records from SimplePractice. Those records contain protected health information (PHI), such as client names and appointment dates, and are handled in accordance with HIPAA and California law as part of our payment and health care operations. The application uses this information only to count sessions and hours for each clinician. Only aggregate totals, such as hours per clinician and per pay type, are sent to Intuit QuickBooks. No client names, appointment details, or other PHI are transmitted to Intuit or stored in QuickBooks.

The Payroll Bridge retains the appointment data it uses for no longer than one year, for payroll calculation and reconciliation. It is not the system of record. Official client and appointment records remain in SimplePractice and are retained by Blu Alliance for the periods required by California law.

Access to these tools is limited to the people who need it, the tools do not collect information from website visitors, and they do not sell data or share it with third parties, other than sending the aggregate totals described above to Intuit QuickBooks. SimplePractice operates under a business associate agreement with Blu Alliance. Questions about these tools may be sent to admin@blualliance.org.

Security

We use reasonable administrative, technical, and physical safeguards to protect the information we collect. No method of transmission over the internet is completely secure, so we cannot guarantee absolute security.

Links to other sites

The Site links to and embeds content from third-party services, including our SimplePractice client portal, Stripe, Google Maps, and our social media pages. Their privacy practices are governed by their own policies, which we encourage you to review.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last revised. Continued use of the Site after a change means you accept the revised policy.
